My name is András, and I've had a terrible memory for as long as I can remember.

As for the memory thing: it's really just that I'm not very good at remembering things.
So, for a long time, I've been trying to create the right systems around my work to help me retain and recall information as and when I need it.
Think contact details, calendars, call logs and to do lists.
And I'm getting there.
But it's a lifelong process.
And I do sympathise with people not getting it right, and just not remembering me... or my business.
Is this going anywhere?
Oh, yes, it is.
So, anecdotally: in the past few weeks, leading up to Alphe London, I've received two generic emails from two service providers introducing their business, letting me know that they'll be at the workshop, and asking me to meet with them for an introductory chat.
Wonderful practice.
Except that I already work with both of them.
Kind of.
I'm on their books, we've done business.
I'm interested in Service Provider A and think of them actively, but I don't tend to have the right clients for them. But this might change, perhaps tomorrow.
And I'd also be interested in Service Provider B, it's just that their current platform is not good enough for me. Or maybe I don't understand it well enough. A conversation might help.
A conversation.
...but not the wrong "send to all" message.
I don't know why I wasn't segmented out of these emails – maybe it was a simple mistake, maybe it was the lack of systems.
And, as you remember, I sympathise.
And I also won't pretend that I've never done anything similar.
But it's such a shame when you spend time and/or money on outreach, and all you do is actually making things worse.
Systems, systems, systems.
So, class, what should Service Provider A and Service Provider B have done?
Jog their memory?
Maybe.
Or just use better systems.
Seriously, even a free CRM could've done the job.

Although I have to add, while free is great, I'm having the time of my life going trough a CRM upgrade, creating custom objects and making it all talk to a customer portal I'm coding – it's just heaven.

The lesson: if you can't remember, write it down. And if you can't remember where you wrote it down, make sure to use a system for it all.
Because whether it's sales, marketing, curriculum management, academic feedback cycle, homestay checks or policy updates, you need a system to stay on top of it.
